New Initiatives
Highlighting AI
The Point Solutions team has enthusiastically adopted AI technology! The newly implemented internal Convey AIChat tool has significantly enhanced quality and efficiency, enabling the team to accomplish more in less time. Developers estimate a time savings of 4-8 hours per week, as the AI Chat tool adeptly handles laborious and routine tasks, swiftly generating proof of concepts and simple tools. Noteworthy applications include:
- Uploading a table of test scenarios for a specific feature and requesting verification that the code covers all scenarios. A discrepancy was identified, enabling the engineer to rectify the issue and ensure alignment with all scenarios.
- Uploading existing code and requesting an explanation of its functionality. The generated response often serves as documentation for that code segment!
- Uploading code and requesting the creation of a unit test. While some cleanup may be necessary, this feature eliminates the need to write boilerplate code, saving valuable time.
- Developing a console application to validate the specifications of a test CMS data file.
As a team, we are actively embracing these new tools to enhance our skills and productivity as engineers!
New Initiatives
Introducing Auto-Ship Orders for SBA OTC
In Q4, OTC will launch a pilot to begin offering members the option to pre-schedule individual orders or set up an auto-shipment of orders for the full benefit year. Scheduled and auto-ship orders provide our members with an additional value added benefit they’ve been asking for. This gives members more control when placing orders without having to remember to contact us each period. Future phases will include expanding this offer to all of our clients and making the option available for members to self-service through our web portal and mobile app.
Meet our New Shipping Partner
May 1, 2024 we began shipping our OTC product orders through Medline to help us achieve faster shipping times, optimize inventory management and increase our overall efficiency. We have launched the first two phases and completed this transition on June 5 with the migration of Cigna shipments.

May was a blast and this team has been very busy addressing various production issues, we had 7 releases total, one of which was a huge undertake, a code refactor of our ACA product performed within 2 weeks by Ethan Spalding & Dale Robey that allowed us to process our biggest client in the SQL server. Other releases were also very impactful, shoutouts go to the whole team: Ethan Spalding, Kate Velb, Vince Payne, Jean Becker & Olga Cissa. A new team member has joined our team, Tom Field, we are very excited to welcome him.

Our Role in the Software Development Lifecycle (SDLC)
Our product management team plays a pivotal role in the Software Development Lifecycle (SDLC). Starting from the prioritization of the product backlog, we maintain a roadmap that aligns with key stakeholders' expectations. We meticulously gather business requirements, groom them for clarity, and work closely with our development teams to ensure smooth releases of new features. This process keeps us in constant communication with clients, technical experts, and business leaders to make sure we are all moving in the right direction.
Meet the Team
Our Product Management team is a group of dedicated professionals working in sync to bridge the gap between clients, technical teams, and business operations. They ensure that our products not only meet but exceed the expectations of all our stakeholders. Whether it's through defining strategy, managing product lifecycles, analyzing requirements, creating documentation, or coordinating projects, this team is at the core of our success.
Director of Product Management
David leads the charge in defining and communicating our company's product strategy. He acts as a crucial bridge between product teams, client managers, project managers, and operational stakeholders. David ensures seamless coordination across multiple product lines, overseeing the implementation of new functionalities, and making sure everything proceeds smoothly across the board. His role is pivotal in aligning various teams towards our shared goals and keeping everyone on track.
Product Managers
Our dedicated Product Managers are the visionaries aligning our products with the company's strategic goals. They are responsible for innovating and adapting our products to meet market demands and seize new opportunities. Ana, Ramonita, and Madhavan maintain deep technical knowledge of our product lines, manage the product backlog, and ensure our roadmaps reflect our organizational strategy. They also oversee the efforts of our Business Analysts and Technical Writers, ensuring that every aspect of the product lifecycle is meticulously planned and executed.
Business Analysts
Our Business Analysts are the detectives of the team, diving deep into our business functions to gather crucial information and assess output requirements. Abies, Gretchen, Sravya, Eswar, and Ken are instrumental in designing and documenting software solutions, analyzing requirements, and creating workflow diagrams. They work closely with various stakeholders to identify problems and recommend improved procedures, ensuring that our solutions meet the highest standards and our products deliver maximum value.
Technical Writers
Nancy and Valeria are our wordsmiths who transform complex technical concepts into clear, concise documentation. They create user guides, manuals, and other resources that help our clients and teams understand and effectively use our products. Their work is crucial in ensuring that all our technical communications are easy to understand and accessible to everyone.
IT Project Coordinator
Wilma is the linchpin in our project coordination efforts. She manages timelines, coordinates tasks for various activities and recurring deliverables, and ensures that all items move forward smoothly and efficiently. Wilma’s role is essential in keeping the team organized and task on schedule in addition to direct Manila Human Resource community employee initiatives.

Medline Integration
We have completed migration of all the Convey clients to Medline for order fulfillments with Cigna being the last client that went live with Medline in June. Clients were migrated to Medline in three phases during end of April, mid-May and June. So far, we haven’t encountered any major issues with overall integration between the two companies and order fulfillment has been progressing relatively smoothly.
MetroPlus Rewards & Incentives (R&I)
We went live with MetroPlus as our first R&I only client during Q1. Over the last few months, we have been working very closely with MetroPlus as well as InComm in order to look for opportunities to make our R&I program more robust and user friendly. During May, we deployed several new enhancements to the R&I program and considering a few more enhancement for Q3.
Major Initiatives
SBA team is working on several major initiatives such as Future Dated Orders, Process Improvements / Non-Utilizer population, .net upgrade, SQL Server upgrade, Delegated User Access, and Multi-factor Authentication to name a few. We will update you as we deploy these important product enhancements.
Deepika's Team
We released executive summaries in the MA hub Web Application and enabled for some of the Hub clients. Thanks to our product and engineering teams: Abby Tsui, Deepika Dua, Meredith O’Brien, and Anastasiya Kartuzova for enabling this feature and advisory team for their feedback and support.

As we are hiring for engineering positions, we aim to bring on top talent willing to learn and contribute to our efforts. Thanks to Daniel Sorensen and Tom Tedesco for improving the technical interview process and diligently evaluating candidates through deep-dive discussions.

Another successful annual team building event despite the rainy weather. WFM spent a day of catching up as most work from home, and engaging activities to hone our team collaboration and everyone’s inclusivity within the team.
Operational Training, Quality, and Planning
- Revamp and redevelopment of New Hire Training Curriculum for both APA and SBA in progress incorporating more interactive activities for both face to face and virtual training.
- Whole day brainstorming session with APA operational training team to prepare for this season’s training and reestablish this year’s goal of delivery best of class training resulting to best in class operations team members.

- Delivered the Quality Roadshow to all Cigna PDP staff and fully implemented the new balanced quality scorecard effective May 1.

Project Management Office (PMO) & Professional Services
Intranet Site Revamp Initiative
We are excited to announce that we are currently reevaluating and exploring our options to introduce a revamped intranet site. This dedicated space will allow for easier communication, collaboration, and sharing of information across the organization. Our goal is to create a user-friendly, efficient, and engaging platform that enhances our internal communication and supports our organizational goals. The initiative is being led by our PMO in collaboration with our Communications Committee, and we are considering all options to ensure we select the best platform to meet our needs. Our team is hard at work conducting an in-depth analysis, reviewing various intranet solutions, and gathering feedback from different departments to secure approval for the project.
Here are some key features and benefits we are looking to include in the new intranet site:
- Centralized Information Hub: A single location for all important documents, policies, and announcements, making it easy for employees to find and access the information they need.
- Enhanced Collaboration Tools: Features such as discussion forums and team workspaces.
- Improved Communication Channels: Integrated messaging and notification systems to keep everyone informed and connected, ensuring that important updates reach all employees promptly.
- Social Features: Interactive elements such as blogs, and employee recognition programs to foster a sense of community and engagement within the organization.
- Mobile Accessibility: A mobile-friendly design to ensure that employees can access the intranet and stay connected, even when they are on the go.

Project Management Office Relaunch
The enterprise Project Management Office (PMO) relaunch kicked off at the PMO summit earlier this year where PMO team members met to review lessons learned from the previous year and strategize on methods to achieve the goals for the PMO 2024 and onward. Coming out of the summit, the team focused on key deliverables:
- Documenting and implementing a project intake process including subcommittees
- Standardizing project management tools
- Standardizing project management templates
- Develop the Convey enterprise PMO playbook
Project Intake and Subcommittees
A successful PMO focuses on projects that are aligned with organizational goals. In order to ensure resources and funds are being properly allocated to the right projects, the PMO is introducing a streamlined project intake process that will provide visibility and formality to project requests and approvals. Initiatives will be tracked from ideation and will go through the project approval cycle that will include reviews by the appropriate subcommittee and if necessary, the Steering Committee. The four subcommittees will be managed by members of the PMO and include business owners as subcommittee members.
- IT Architecture Committee - evaluates/manages projects pertaining to Convey’s technology infrastructure i.e. networking, telecom, software, and cloud services
- APA, SBA, and Point Solutions Committee - evaluates/manages projects submitted to support the products and services offered to Convey’s clients
- Pareto Intelligence Committee – evaluates/manages projects concerning complex healthcare data, delivering actionable insights to improve financial performance and ensure compliance
- Corporate Committee – evaluates/manages projects concerning Convey’s corporate administration
Standardization
A major theme identified in the strategizing sessions was the need for standardization. Standard project management templates were created to ensure consistency across all projects. Project managers will use Smartsheet to host the project intake form, project plans, and the portfolio dashboard which provides the executive leadership a comprehensive view of all projects and their health. Confluence will function as a repository for all project artifacts and will be accessible to all project team members.
All of these great initiatives have been documented in the enterprise PMO playbook to ensure consistency in the project management office.
The PMO team members have done a great job in implementing these new strategies and are looking forward to collaborating with stakeholders in future projects.
Welcome Nastassia Brown, Project Manager
As a seasoned PM I truly enjoy the multifaceted nature of my role. One of the most rewarding aspects is the opportunity to drive projects from inception to completion, seeing ideas transform into tangible results. Working with the diverse teams here at Convey has been the highlight of my time here. I appreciate the chance to collaborate with talented professionals from various disciplines in the business. I have deeply enjoyed in person interactions with everyone I have met personally as well. There is a common sense of genuine respect and comradery that has been fostered and I have been welcomed with it warmly. My immediate Team has been extremely supportive, and as we build out the PMO I am excited about it’s exponential growth and the positive impact it will have.
Outside of work I deeply enjoy trying new restaurants, traveling to different countries to explore cultures and their cuisines, cooking and creating recipes with my little sister, going to the beach, spending time with friends and family and volunteering with Feeding South Florida and the Salvation Army Angel Tree program during Christmas time. I also support a charity back home in Jamaica a friend of mine created called Gift of Love, aiding children and families in need.

Our contact center team continues to obtain performance excellence by exceeding in all metrics. We are extremely proud of our team members and the leadership team for their contributions in making the month successful. A few key call outs during the month of May.
- All health plans exceeded in key performance indicators
- Average handle time was below the planned target and the lowest all year
- Absenteeism was below the planned target
- Schedule adherence exceeded performance at a 96%
- Overall Quality Score exceeded performance for the month

Cigna PDP
We launched the CSAT Survey mid-March which has shown tremendous success thus far, achieving an 88% resolution rate. We continue to work on ways to elevate and deliver of 5 Star member experience.
The new Balanced Quality Scorecard went in to effect on May 1. With our new scorecard, we are laser focused on the member’s experience redirecting our agents to deliver resolutions in a more interactive way.
Optum EGWP
Quality performance exceeded the 95% goal from Jan - May with an average of 99%. This continues to surpass expectations quarter over quarter.

Pareto Analytics Team, specializing in developing big data products using AWS Cloud, GitHub, and other cutting-edge technologies, has joined forces with Software Operations, Security, and Architecture (SOSA) to enhance their automation capabilities.
SOSA's primary objectives include learning and analyzing existing systems to provide support in aligning them with Convey Policies and industry best DevOps practices. Meeting of the Minds with an HR Collaboration: The US and Manila Teams Connect!
The inaugural HR Summit with both the USA and Manila HR teams converged on June 4-6, 2024, for an enriching experience. With a blend of in-person and virtual interactions, the summit fostered collaboration, shared insights, team building activities and making connections between the teams.
The virtual meeting on Day 1 kicked off with warm introductions, allowing team members to see each other and to put faces to names. The teams shared the functions in their respective HR Areas and shared fun facts and interesting stories about themselves to make the connections.
The Manila team took the first spotlight as they delved into their efficient ticket system through Top Desk. Using the system and leveraging data collected over the past quarter, they shared valuable insights on response time optimization which allows for faster response rates and ensuring inquiries were addressed promptly for benefits, leave applications and all other employee needs. The team also provided details on employee feedback within the system, which revealed that personalized responses and empathetic interactions significantly boosted overall satisfaction.
The USA HR Team embarked on a sun-kissed team building asdventure at Tigertail Lake Recreational Center in Dania Beach Florida. Against the backdrop of a lake and lush greenery, they delved into learning about the Five Dysfunctions of a Team, but focusing on the positive attributes: Trust, Managing Conflict, Commitment, Accountability and Results. With a combination of interactive group activities and discussions determined to transform challenges into triumphs.
The Strategy Sessions commenced on Day 2 with Department updates and brainstorming collaboration on the team initiatives, action plans and training/development initiatives and events for the team, as well as for overall organization for the remainder of the year.

In addition to the keynotes, the summit was an opportunity to hear from some of our own exceptional women leaders at Convey.
